• Contact and identification data provided by you: name, surname, email address and telephone number.
• Stay and request data: arrival and departure dates, number of guests, room preference and any message.
• Technical data normally generated by Internet systems, such as IP address, browser information, date, time and requested resource.
• Consent preferences stored on your device.

Please do not include health data or other special categories of personal data in free-text fields unless strictly necessary.

• Responding to enquiries and preparing quotes: performance of pre-contractual measures requested by you (Article 6(1)(b) GDPR).
• Managing the relationship and complying with legal obligations: performance of a contract and compliance with legal obligations (Articles 6(1)(b) and 6(1)(c)).
• Website security and abuse prevention: the Controller’s legitimate interest in protecting systems and users (Article 6(1)(f)).
• Loading Google Maps: your freely given and revocable consent (Article 6(1)(a)).

Providing data marked as mandatory is necessary to receive a reply or quote. Failure to provide it prevents the request from being handled.

Data is processed mainly electronically, using measures appropriate to the risk and by authorised personnel.

• Quote requests and related correspondence: for the time needed to respond and normally no longer than 24 months, unless a contractual relationship or legal dispute requires longer retention.
• Contractual and accounting data: for the period required by applicable law, normally 10 years.
• Security logs: for the period strictly necessary to ensure security and investigate anomalies.
• Consent preference: until withdrawal, deletion by the user or a new policy version.

Data may be accessed, within their respective duties, by authorised staff, professional advisers and suppliers acting as processors or independent controllers.

• Replit, Inc. — website hosting, infrastructure, database and file storage.
• Google Maps (Google Ireland Limited) — interactive map, loaded only after consent.
• Brevo / Sendinblue (Brevo, Sendinblue SAS) — delivery of the quote request to the hotel and of the transactional confirmation to the user.

Data may also be disclosed to public authorities where required by law. It is not sold or disclosed for independent marketing purposes.

Some technology providers may process data outside the European Economic Area. Where applicable, transfers are based on an adequacy decision, Standard Contractual Clauses or another safeguard under Articles 44–49 GDPR. Information on safeguards may be requested from the Controller.

You may exercise the rights under Articles 15–22 GDPR: access, rectification, erasure, restriction, portability, objection and withdrawal of consent without affecting prior processing.

Requests may be sent to info@hotelsud-ovest.it. You also have the right to lodge a complaint with the Italian Data Protection Authority: www.garanteprivacy.it.

The website does not make decisions based solely on automated processing and does not carry out profiling. The services are not addressed directly to minors; requests concerning minors must be submitted by a parent or guardian.
